Job Description

The Venue Finding Executive will play a pivotal role within the operations team and will be responsible for sourcing, finding and developing relationships with venues, DMC’s and experience agencies. This will include extensive research and creativity to determine the best options for our clients and their events for the operations team to use within proposals.

You will be required to create relationships and be up to date with the latest venue and restaurant openings. The individual must have prior event and travel experience. The Venue Finding Executive will report to the Senior Operations Manager and will work to a set of agreed objectives based on proposal development, venue expertise, internal processes, and personal development.

Skills and Experience

Financial

  • Rate negotiations with venues

  • Preparation of costing proposals

  • Budget updates

Client & Service

  • Research and engage with venues.

  • Advise on the most suitable venues and activities for clients and events

  • Create an internal pool of venues & activities at varying costs

  • Research ad hoc venues & activities as per client briefs

  • On confirmation of an event subsequently confirm the relevant venue(s) and activities and manage venue contracts

  • Work to processes and timeframes

  • Confirm bookings and management of venue contracts

  • Keep up to date on new venue openings in UK and [JS1]Globally

  • Create and maintain relationships with venues and negotiate preferential rates

  • Conduct face to face meetings with venues for re-search purposes

  • Understand the venue capabilities and costs in order to advise the best solutions for clients and their events

  • Exceptional communication skills when dealing with suppliers

  • Attending FAM trips

Internal Processes

  • Consistent use of all internal documents and templates with fantastic attention to detail

  • Good internal communication with your line manager and peers

  • Correct usage of the company CRM system keeping this updated daily

  • Always work in line with the company values RARE (relationships, authenticity, results, experience)

  • Adhere to GDPR policy and company handbook policies

Additional Qualities Required

  • 2 + Years travel & incentive or agency experience

  • Venue finding experience

  • Experience of using CVent

  • Highly motivated and enthusiastic with an upbeat attitude

  • Excited by new challenges and hungry for success

  • Ability to handle multiple projects with conflicting priorities

  • Able to use initiative and be proactive in their approach

  • Good negotiating skills

  • Ability to guide and support team members
